Teachers will contact only the parents of students who meet the criteria for a Promotion in Doubt meeting.
Promotion in doubt Meeting
A "Promotion in Doubt" meeting is a formal conversation between the child’s teacher and the parents or guardians of a student who is at risk of not being promoted to the next grade level. Attending this meeting does not mean your child is going to fail. Rather, it signals that your child may need additional academic support and focused effort to meet grade-level expectations. The purpose of the meeting is for parents and teachers, to work together to identify areas of concern, discuss available resources, and create a plan for improvement.
There is still plenty of time left in the school year to make meaningful progress. With the right support both at school and at home, your child can overcome challenges and finish the year successfully.
What Parents Should Prepare:
Make a List of Questions or Concerns
- Ask about specific subjects your child is struggling with.
- Inquire about how your child is doing socially and emotionally.
- Clarify what the promotion criteria are and what your child needs to achieve.
Be Ready to Share Insights
- Let the school know about any challenges your child may be facing at home (e.g., health, family changes, learning difficulties).
- Share what strategies have worked well for your child in the past.
Be Open to Collaboration
- Be prepared to work with the school to create a support plan.
- Ask how you can help at home, whether through reading, homework routines, or tutoring.
Take Notes
- Write down key points from the meeting, including the next steps, deadlines, and who to contact for follow-up:
Tips for Effective Communication During the Meeting
- Review your child’s academic progress beforehand so you can speak confidently.
Stay Calm and Open-Minded
- Approach the meeting with a collaborative mindset.
- Remember that the goal is to support your child, not to place blame.
Listen Actively
- Give full attention to the teacher or school staff.
- Take notes and ask for clarification if something isn’t clear.
Ask Thoughtful Questions
Examples
“What specific areas is my child struggling with?”
“What support is available at school?”
“How can I help at home?”
Focus on Solutions
- Work together to create a realistic action plan.
- Ask about tutoring, intervention programs, or additional resources.
Clarify Next Steps
- Confirm what will happen after the meeting.
- Ask when the next check-in will be and how progress will be tracked.
Follow Up
- Stay in touch with the teacher or counselor.
Monitor your child’s progress and continue supporting them at home
